Job Summary:
Shea’s Performing Arts Center is seeking a dynamic and experienced Bar Manager & Special Events Coordinator to oversee bar operations and coordinate private events across our venues: Shea’s Buffalo, Shea’s 710, and Shea’s Smith Theatres. This dual role requires strong leadership, attention to detail, and a passion for hospitality to ensure an exceptional experience for patrons and event guests. The ideal candidate will be a creative problem solver with excellent organizational skills, the ability to manage multiple projects simultaneously, and a proven track record of improving bar revenue and event engagement.
Key Responsibilities:
Bar Management:
- Oversee all aspects of bar service, including inventory, ordering, and compliance with liquor laws, ensuring efficient and profitable operations.
- Recruit, train, schedule, and supervise a team of bartenders and barbacks, providing ongoing education on customer service and mixology.
- Work with Hospitality Department staff to develop and maintain beverage menus, including signature cocktails, seasonal offerings, and customized drink packages for special events.
- Implement and oversee cash handling, point-of-sale (POS) systems, and reconciliation procedures to maintain accurate financial reporting.
- Ensure compliance with all New York State liquor laws, health, and safety regulations, including obtaining and maintaining required licenses and certifications.
- Maintain strong relationships with vendors and suppliers, negotiating pricing and purchasing strategies to optimize cost efficiency and product quality.
- Monitor bar performance, analyzing sales trends and making data-driven decisions to improve service efficiency and revenue generation.
- Assist the Concessions department as a shift supervisor at performances.
Party & Special Event Coordination:
- Plan and coordinate private parties, weddings, corporate events, etc, ensuring seamless execution from conception to completion.
- Work closely with clients to customize beverage packages, catering options, entertainment, and decor to match their vision and budget.
- Collaborate with the Events & Hospitality team to develop new event concepts and promotions that align with Shea’s brand and attract diverse audiences.
- Liaise with the marketing and operations teams to promote special event offerings, creating compelling content for promotional materials and social media.
- Oversee the operation of Shea’s Donor Lounge during Broadway week from catering, bar services, donor check-in, opening, intermission and closing procedures
- Work closely with the Development Department on planning and execution of Shea’s Gala and annual fundraising events. Includes close coordination with Development on table/ticket sales, guest lists, catering, and event management with an eye on maximizing fundraising opportunities.
- Supervise and facilitate event setup and breakdown, ensuring a high standard of presentation and guest satisfaction.
- Track and manage event budgets, vendor contracts, and client payments, ensuring cost-effective solutions without compromising quality.
- Cultivate relationships with local businesses, organizations, and event planners to generate new leads and expand Shea’s event offerings.
Qualifications & Skills:
- Minimum 5 years of experience in bar management, event planning, or hospitality leadership, preferably in a performing arts or entertainment venue.
- Deep knowledge of New York State liquor laws, responsible alcohol service, and industry best practices.
- Strong leadership and team management skills, with the ability to inspire and motivate a diverse staff.
- Excellent communication, negotiation, and customer service skills to effectively interact with patrons, staff, and vendors.
- Exceptional organizational abilities, with strong attention to detail and the ability to multitask in a fast-paced, high-energy environment.
- Experience with event coordination software, POS systems (such as Toast), and inventory management tools.
- Must be able to work flexible hours, including evenings, weekends, and holidays, as required by performance schedules and event demands.
- Certification in responsible alcohol service (e.g., TIPS or ServSafe) is preferred.
- Knowledge of current beverage trends and mixology techniques to elevate the bar program.
Physical Requirements:
- Ability to stand for extended periods and move between multiple event spaces throughout the venue.
- Ability to lift up to 50 lbs. (e.g., cases of beverages, bar equipment).
- Comfortable working in a fast-paced environment that requires quick problem-solving and adaptability.
